Student Proxy Access

The Family Educational Rights and Privacy Act (FERPA), prevents third parties (parent, spouse, employer, etc.) from having access to your student record without your consent. You, the student, can grant access to third parties to your student record though Student Proxy Access. View Wright State University’s FERPA Policy.

What is your student record? A student record can include your active registration, detail schedule, final grades, holds, graduation application, and academic transcript. Student records can also include billing information and financial aid such as the student billing account, financial aid application (ISIR/SAR), disbursement records, professional judgment documentation, verification records, cost of attendance, financial aid counseling documentation, financial documents, and your financial aid history.

Students can authorize proxy access through WINGS Proxy Management. Students can assign access for their proxy to view specific WINGS Express content within a Student Proxy Access portal or allow verbal access when contacting Enrollment Services or Lake Campus Enrollment Services using a passphrase. NOTE: Proxies cannot view Billing or Financial Aid Records online via Student Proxy Access. Proxies can only verbally receive billing and financial aid information using the passphrase. Anyone with a valid email address can be granted Student Proxy Access including parents, guardians, spouses, and other third parties (employers, agencies, insurance, etc.) the student deems appropriate.  The student has complete control over who has access, what information the proxy has access to, and the length of time for which the proxy has access.

Below you will find instructions developed to walk you through the Proxy Management system. The Student Instructions page will walk a student through the process of setting up and maintaining proxy access. The Student Proxy Access Instructions page will address the system from the perspective of the proxy. This page will explain how you log into the system after a proxy account has been created for you and how to navigate the system.

Student Instructions for Proxy Management

You, the student, can authorize any parent, guardian, spouse or other third party as a proxy to view portions of your record as long as that individual has a valid email address.  Here's how:

  1. Open WINGS in your browser
  2. Click on Student and Financial Aid
  3. Click on Proxy Access
  4. Click on Proxy Management
  5. Click to Add Proxy
  6. Input the required information about your proxy. Enter in the proxy’s information (not your own). This is the necessary information that allows the proxy to receive communications necessary to set up and maintain their access.
  7. Once you have entered the required information, click on Add Proxy.
  8. Click on the link to expand the proxy your are adding.
  9. Complete the Profile Tab.
    • Define your relationship with the proxy. Enter a description of the relationship with your proxy (i.e.. dad or wife)
    • Create a passphrase. This is required if you are going to allow the proxy to communicate with Enrollment Services or Lake Campus Enrollment Services verbally. You will need to select the E-Mail Passphrase icon after completing the proxy profile. This will send your proxy an email with the passphrase. Be sure to keep the passphrase private between you and your proxy. Wright State University cannot disclose passphrase information to your proxy. If your proxy forgets their passphrase they must contact you to obtain or re-set the passphrase.
    • Indicate the start and stop dates you wish the proxy to have access to your student record. This allows you the ability to control the duration your proxy is able to access your information. The end date can be as far into the future as you would like it to be
  10. Click on the Authorization Tab. You can select the the information you wish your proxy to access. When checking/unchecking the boxes, information is saved automatically.Be sure to click the Email Authorizations icon to notify your proxy of the authorizations granted.

You have now completed steps to authorize proxy access to your student record!

Student Proxy Access Instructions - Proxy/Third Party

Students are enabled to authorize another person with a valid email address proxy access to view certain student information, and provide a passphrase for speaking with Enrollment Services about certain data associated with the authorizing student.

  1. Open your email with the subject line "New Proxy Identity."
  2. Click on the link included in the email (or copy and paste it into your browser: www.wright.edu/proxy).
  3. Enter your temporary password (copy and paste from the "New Proxy Identity" email) and click Submit.
  4. Create your new password (PIN).
    • Enter your email address (the same one to which the new account email was sent) and the temporary password as the "Old Password".  
    • Enter a new password of your choosing (8-15 alphanumeric characters) in both the "New Password" and "Validate Password" fields. Click Save.
  5. Update your Proxy Profile.  
  6. Click on the tab with a student's name to see your authorizations.
    • Billing and Financial Aid Records authorization only allows for verbal access using a passphrase. Note: If given passphrase access, you will receive a separate email containing the passphrase with the subject line "Send updated proxy passphrase."
    • Clicking on Student Records authorizations will open a new window. Note: Some authorizations may require you to select a term from a drop-down box to view the content.
       


Parent/Authorized User - Billing

If you wish to authorize a parent, guardian, or other user to view your online student account information (billing statements) and make payments on your behalf, please follow the WINGS instructions below.

  1. Select Student on the Launchpad
  2. Under Campus Services, click on Student Account Center – View and Pay Bill
  3. Select Authorized Users
  4. Click the Authorized User tab
  5. Enter the Authorized User's e-mail address and select the items you would like your authorized user to see, click on Continue.
  6. Check the I Agree box. Click on Continue. Instructional e-mail will be sent to the authorized user.
  7. Authorized Users can then go to the Enrollment Services Access Your Account page and select View & Pay Bill.

Frequently Asked Questions by Students

  • Who can set up a Proxy?

    Any active student who has been admitted can set up a Proxy.

  • What is a passphrase?

    It helps verify the identity of the individual calling and requesting information. Be sure to keep the passphrase private between you and your proxy.

  • Can multiple Proxies use the same email address?

    Generally, no. The only exception is if parents share an e-mail address. When setting up the Proxy, you must fill in the first name field with both parent first names (e.x. John and Jane). In the relationship description, enter "parents" so it is clear that the access is for more than one person.

  • What offices can disclose authorized information to my Proxy?
  • I am a student and want to see a history of authorizations.

    To view your history of authorizations, please follow the steps below.

    1. Open WINGS Express in your browser
    2. Click on Student and Financial Aid
    3. Click on Proxy Access
    4. Click on Proxy Management
    5. Select the Proxy from the Proxy List
    6. Click on the History tab for a log of authorizations for the selected Proxy
  • I am a student and want to see a history of communications sent to my Proxy.

    To view your history of communications, please follow the steps below.

    1. Open WINGS Express in your browser
    2. Click on Student and Financial Aid
    3. Click on Proxy Access
    4. Click on Proxy Management
    5. Select the Proxy from the Proxy List
    6. Click on the Communication tab for a log of communications sent to the selected Proxy
  • Will my Proxy be notified if I change their authorizations?

    No. There is not an automatic e-mail generated when a student changes the authorizations for a proxy. However, you may choose to send a new email notification by clicking on the Email Authorizations icon under the Authorizations tab for the selected Proxy.

  • I am a student and my Proxy forgot their passphrase.

    Wright State University cannot disclose your passphrase to your Proxy. You may choose to notify your Proxy of the existing passphrase or you may create a new passphrase. Note: Only the student may update the passphrase.

    To update or send another email to your Proxy with the passphrase, please follow the steps below.

    1. Open WINGS Express in your browser
    2. Click on Student and Financial Aid
    3. Click on Proxy Access
    4. Click on Proxy Management
    5. Select the Proxy from the Proxy List
    6. Under the Profile tab, change the passphrase field to your desired passphrase
    7. Click on Email Passphrase to send a new email to your Proxy
  • I am a student and would like to remove a Proxy's access.

    To delete a Proxy, please follow the steps below.

    1. Open WINGS Express in your browser
    2. Click on Student and Financial Aid
    3. Click on Proxy Access
    4. Click on Proxy Management
    5. Select the Proxy from the Proxy List
    6. Under the Profile tab, change the Stop Date to today or an earlier date.

Frequently Asked Questions by Proxies

  • Can I use the same email address to be a Proxy for multiple students?

    Yes. Proxies are identified by their e-mail address and multiple students can assign access to the same Proxy. Each student authorizing access has control over the type and duration of the access.

  • I am a Proxy and I want to view my student's financial aid information using the Student Proxy Access Portal.

    Access is only available verbally (ex. In person or over the phone) using a passphrase. At this time the ability for a Proxy to view information in the Student Proxy Access Portal is not available.

    When a student authorizes access to financial aid, they will click the Financial Aid Records: Access information using the passphrase option.

    When this option is authorized for Parent or Legal Guardian/Spouse, the student is releasing the following information to the Proxy:

    • Financial aid application (ISIR/SAR),
    • Disbursement records,
    • Professional judgment documentation,
    • Verification records,
    • Cost of attendance,
    • Financial Aid Counseling,
    • Financial documents, and
    • Financial aid history.

    This does not allow access to specific information pertaining to a student’s Standards of Academic Progress status.

    For other third parties federal regulations prohibit Wright State University to release financial aid information verbally or in hard copy to third parties, even with a student’s express written consent, unless the third party is an organization that will assist the student in applying for and receiving financial assistance at Wright State University.   • I am a Proxy and I want to view my student's Account & Billing information using the Student Proxy Access Portal.

    Access is only available verbally (ex. In person or over the phone) using a passphrase when Billing Records: Access information using the passphrase is selected. At this time the ability for a Proxy to view information in Student Proxy Access Portal is not available. However, students may setup an Authorized User to view online student account information (billing statements) and make payments on your behalf by following the instructions in the Parent/Authorized User - Billing   section of the page.

  • I am a Proxy and I want to view my student’s educational information using the Student Proxy Access Portal. What will I have access to view?

    Depending on the relationship and authorizations the student assigns to you as the Proxy, you may be able to view the following information:

    • Active Registration
    • Student Detail Schedule
    • Final Grades
    • Holds
    • Graduation Application
    • Academic Transcript

    Note: The student may select one or more items in the list above to grant authorization for a Proxy to access. Only those items authorized by the student will be available in the Student Proxy Access Portal or with a passphrase.

  • I am a Proxy and I forgot my passphrase.

    Contact the student who authorized your Student Proxy Access. Only the student may update the passphrase. Wright State University cannot disclose a student's passphrase.

  • I am a Proxy and I forgot my PIN to the Student Proxy Access Portal.

    Go to the Student Proxy Access Portal. Enter your e-mail address and then reset your PIN using the ‘Forgot PIN’ button.

  • I am a Proxy and I need to find the link to log into the Student Proxy Access Portal.
  • I am a Proxy, how can I update my authorizations?

    As a Proxy, you cannot update your authorizations. Only the student who authorized your Student Proxy Access may update your authorizations.

  • Can I use my passphrase to obtain educational information other than what is listed under the Proxy Authorizations?

    No, the passphrase allows you to receive only information in the list above if the student has authorized you to have access to it. The passphrase may be used only when contacting Raider Connect or Lake Campus Enrollment Services.
